Submit an Event

From nitrogen ice cream to religious services and memorable student performances, our community knows how to bring the excitement of campus to CPW. If you would like to submit an event, please follow the guidelines below.

All events must be submitted by March 17 and approved by the events committee before they can be listed in the CPW directory.

Event registration platform (the same as last year!)

  • This year, we’re back on Attendee Interactive! Through this event registration site, you’ll make a profile where you can create, edit, and manage your CPW event submissions. You will have until March 17, to manage your events.

Event requirements

  • Only representatives of official MIT entities—residence halls, FSILGs, ASA groups, and DLCs—may host CPW events.
  • Events can not conflict with any featured events (see below).
  • All CPW activities must end by 1 AM, per Institute regulations.
  • Admissions and the CPW events committee reserve the right to alter your event title and/or description.
  • References to alcohol, drugs, or illicit/inappropriate behavior will be automatically rejected.
  • We will be in touch if changes need to be made. No news is good news!

Featured events

The following times are restricted from other programming. Your event may overlap with the last 15 minutes of any of the following events.

  • Thursday, April 11, 8:30–9:30 PM: Admitted Student Welcome
  • Friday, April 12, 9–10 AM: Breakfast with the Community [Non-Blackout, Events Allowed]
  • Friday, April 12, 10–11:30AM: MIT Welcome and a Taste of SHASS
  • Friday, April 12, 1–3:30 PM: Daper Gateway (1–2 PM) / Academic Expo (2–3:30 PM),  [only Departmental Sponsored Events Allowed during these times]
  • Saturday, April 13, 1–3 PM: ASA Midway [Non-Blackout, Events Allowed]
  • Saturday, April 13, 6–7:30 PM: Closing Show

Reserving event space

Submitting an event does not reserve your event location. Reserve your event space before submitting your event, using the links below.

Reserving CAC spaces

  • If you have a virtual scheduling account: Sign in, select “Create A Reservation,” and use the CPW CAC room request template to reserve your room prior to submitting your event.
  • If you do not have an account, you will need to go to W20-500 to create one. Office hours are Monday through Friday 9 AM–5 PM.
  • If you do not remember your password, you will need to go to W20-500 to reset it.

Modifying or canceling an event

  • If you need to make a change to a previously submitted event, you are able to do so prior to March 17, by selecting and editing your event under My Submissions in the event portal.
  • If you would like to duplicate your event, because your event will be occurring on multiple occasions, please select “Duplicate” under your event and make necessary edits to date/time.
  • If you would like to cancel your event entirely, please find your event submission and select “Withdraw Event” prior to March 17. If you would like to withdraw your event after March 17, please email cpw@mitadmissions.org.
  • If you need to communicate to your event attendees prior to the start of your event, email us and we will update your listing and notify your attendees.

Event safety

  • Events that include hazardous chemicals, animals, drones, power tools, soldering, building, etc., will likely require a safety plan. If this pertains to your event, please fill out the Safety Plan form. Any events that require a safety plan will not be approved until one is in place.
  • If you will be grilling/barbecuing, you must follow the Institute Guidelines. Please note, at this time the Kresge BBQ grills are not available for grilling.
  • If you have any questions related to event safety, email our EHS representative, Alice Ursella.
  • If you will be providing food trucks or using rentals from outside vendors, you may also need a Certificate of Liability Insurance. Please review the policies here.

Important event reminders

  • CPW is dry. No alcohol should be displayed or consumed during any event or program.
  • You are an ambassador of MIT. Please adhere to all policies and expectations laid out in the Mind and Hand Book.
  • All MIT faculty, staff, or students working with minors should complete the new training about the Protection of Minors at MIT, available via the Atlas Learning Center. This training introduces the policies and procedures designed to protect the safety of minors who participate in MIT’s in-person, online, and hybrid programs. The course takes about 20 minutes to complete.
  • All faculty, staff, volunteers, and students working with minors should also review DOs and DON’Ts of Working with Minors which provide tips and helpful guidance for maintaining a safe and positive environment. Review the guidance for Protection of Minors from MIT’s Risk Management & Compliance Services.
  • Individual background checks for each event host will not be necessary, but all other guidelines apply.
  • Remember: Only representatives of official MIT entities—residence halls, FSILGs, ASAs, and approved groups and DLCs—may host CPW events. Individuals may not host events.

We are no longer accepting CPW event submissions.
